Most businesses work hard to get enquiries, then lose many of them in the hours that follow. Not because the offer is wrong, but because the reply is slow.
What the research found
In a widely cited study published in Harvard Business Review, researchers analysed 1.25 million sales leads from 42 US companies and audited how quickly 2,241 companies responded to a web enquiry.
- Companies that contacted a lead within an hour were nearly seven times as likely to qualify it as those that waited even an hour longer.
- Waiting 24 hours or more made a lead more than 60 times less likely to be qualified than replying within the hour.
- Only 37% of companies replied within an hour. The average response time was 42 hours, and 23% never replied at all.
The quality of your marketing matters, but the speed of your follow-up often decides whether it pays off.
Why speed matters so much
When someone enquires, they are paying attention right now. They have a problem, they are comparing options and they are often contacting more than one business. The first business to reply clearly and helpfully has a strong advantage. A few hours later, the moment has passed.
Where small businesses lose leads
- Enquiries sit in an inbox while you are with a customer or on the road.
- Calls go to voicemail and the caller rings the next business instead.
- Follow-up stops after one attempt, even though many people need several touches before they book.
- After-hours enquiries wait until morning, by which time a competitor has replied.
How to fix it without working longer hours
The answer is not to watch your phone all day. It is to let a system handle the first response and the follow-up, so every enquiry gets a fast, personal reply.
- Reply instantly. Send an automatic SMS and email the moment a form is submitted, confirming you have the enquiry and offering a time to talk.
- Text back missed calls. When you cannot answer, send the caller a text straight away so the conversation continues.
- Let people book themselves. Link to an online calendar so a keen lead can lock in a time without waiting for you.
- Follow up more than once. Use a short sequence of helpful messages over the following days until they book or say no.
- Cover after hours. An AI receptionist or chat assistant can answer common questions and book appointments overnight.
The bottom line
If you are paying for ads, SEO or a new website, slow follow-up quietly wastes part of that investment. Fixing response time is often the quickest way to win more customers from the leads you already have.
